Shipping

Methods, handling times & cutoffs

Transit estimates exclude weekends/holidays and begin after shipment scan. Lead times vary by brand and model.

Shipping locations & restrictions
We ship within the United States (50 states). PO Boxes/APO/FPO may require USPS service and can face limits. Oversize, hazmat, or pressurized items may have carrier restrictions or surcharges (see Freight/LTL).
Shipping costs
Rates are calculated at checkout based on weight, dimensions, distance, and selected service. Oversize equipment and LTL shipments may include freight surcharges—we’ll confirm any special handling before dispatch.

Delivery & Tracking

Order tracking
We email a shipment confirmation with tracking once your order leaves the warehouse. Tracking also appears in your account’s Order History (if you created an account at checkout).
Missed deliveries, delays & lost packages
If tracking shows “delivered” but the package is not found, first check with household members, neighbors, and any building office. Then contact us within 3 business days so we can open a carrier trace and assist.

Freight / LTL (Large or Heavy Equipment)

What to expect with LTL
Freight shipments (condensers, air handlers, packaged units, multi-unit pallets) require curbside delivery and an adult signature. Liftgate and appointment services may be required depending on destination and are billed per carrier policy.
Inspect on arrival: Note any visible damage or shortage on the delivery receipt before signing and take photos.
Freight damage at delivery
If damage is visible, ask the driver to record exceptions, take photos, and keep all packaging. Refuse only the damaged portion if possible, and contact us the same day so we can assist with a replacement/claim.

Returns & Exchanges

Return window & item condition
Our standard return window is 30 days from the ship date. Items must be in resaleable condition:
  • Unused and uninstalled (no tool marks, no power-up)
  • In original packaging with labels, manuals, and accessories
  • Workwear unworn with tags attached
Custom or made-to-order items are final sale unless defective.
Restocking & return shipping
A restocking fee may apply to eligible returns. The exact fee (if any) will be disclosed on your Return Authorization (RA) before you ship the item back. Unless due to our error or a confirmed defect, customers are responsible for return shipping.

How to start a return or exchange
Request a Return Authorization (RA) via our Returns Portal or email support@hvacprosales.com with your order number and reason. We’ll provide packing and shipping instructions.
Refund timing
After inspection, refunds typically post within 7–10 business days to your original payment method (less any applicable fees or outbound shipping where applicable).

Non-Returnable Items

Items not eligible for return
  • Custom or made-to-order items (including special-cut materials, customized workwear)
  • Installed or used parts/equipment; opened electrical/electronic controls showing installation
  • Hazmat items where regulations prohibit return shipping
  • Any item marked “Final Sale” on its product page

Damaged or Defective Items

Report damage or defects
Please notify us within 3 business days of delivery for shipping damage, or within the return window for defects. Provide photos, serial numbers, and a description so we can arrange a replacement, repair, or refund per the manufacturer’s policy.
