General Shipping Policy

We currently ship to locations within the United States. Orders are typically processed within 1–3 business days. Shipping times vary by carrier, service level, and destination.

Shipping costs are calculated at checkout based on weight, destination, and service level. All shipping charges are non-refundable once the order has shipped.

Professional Use & Technical Suitability

Many products sold on this site are professional-grade HVAC tools, parts, and equipment. It is the customer’s responsibility to verify that any product is suitable for their specific application, system, and environment before purchase.

  • We do not provide design, load calculation, or engineering services.
  • We are not responsible for costs associated with misdiagnosis or incorrect product selection.
  • Returns will not be accepted for tools or accessories that have been used, show signs of installation attempts, or have packaging that cannot be resold as new.

Technical Compatibility & Professional Installation

All HVAC parts, components, and equipment sold on this site require installation by licensed, qualified HVAC professionals. The customer is solely responsible for verifying:

  • Model compatibility and part numbers.
  • Electrical requirements (voltage, phase, amperage).
  • Capacity, airflow, and configuration compatibility with the existing system.
  • Local code and permit requirements.

We are not responsible for any costs associated with incorrect product selection, installation, removal, or reinstallation. Products that have been installed, used, modified, or show signs of field wiring or brazing are not eligible for return, except where required by law.

Electrical & Mechanical Components Warning

Electrical and mechanical components (including but not limited to capacitors, contactors, boards, motors, and gas valves) are sensitive devices that can be damaged by improper handling, testing, or installation. All electrical components are inspected and/or tested before shipping when possible.

  • No returns are accepted for electrical components that have been installed, wired, or energized.
  • Failure caused by improper installation, incorrect wiring, misuse, or failure to follow manufacturer instructions is not considered a defect in materials or workmanship.

Return Policy (General)

  • Return requests must be initiated within 14 days of delivery.
  • All returns require prior authorization and an RMA (Return Merchandise Authorization).
  • Returns received without an RMA will be refused or may experience processing delays.
  • A standard 25% restocking fee applies to all non-defective returns.
  • The customer is responsible for all return shipping costs.
  • A 5% processing fee may be applied to cover payment processing and administrative costs.
  • Original outbound shipping charges are non-refundable, including any “free shipping” promotions (the actual shipping cost may be deducted from the refund).
  • Products must be returned in original, unopened packaging with all manuals, accessories, and unbroken seals.

Non-Returnable Items

The following items are considered FINAL SALE and are not eligible for return:

  • Electrical components that have been installed, wired, or energized.
  • Items that have been installed, used, modified, or show signs of field installation.
  • Special-order or custom-ordered products.
  • Products missing original packaging, documentation, or accessories.
  • Any item not in new, resalable condition.

Defective Items

If you believe you have received a defective item, you must contact us within 7 days of delivery. We will work with you and the manufacturer to evaluate the issue.

  • Manufacturer warranty terms and conditions will apply.
  • You may be asked to provide photos, serial numbers, installation details, and a description of the failure.
  • In some cases, the manufacturer may require the product to be shipped to a designated facility for inspection before approval of a replacement or credit.
  • Customers may be responsible for shipping costs to the manufacturer’s inspection facility, depending on the warranty terms.

Refunds

Once your authorized return is received and inspected, we will notify you by email regarding the approval or rejection of your refund.

  • If approved, a refund will be issued to your original method of payment within approximately 10 business days.
  • Restocking and processing fees will be deducted from the refund amount as applicable.
  • If a return is rejected (e.g., used, installed, damaged, or missing parts), the item may be returned to you at your expense or disposed of per agreement.

Important Shipping & Freight Notice for MRCOOL® Equipment

MRCOOL systems ship by freight (LTL) due to size and weight. Orders are typically processed in 1–3 business days, and delivery usually takes 7–14 business days after processing, depending on carrier routing and appointment scheduling.

All MRCOOL shipments must be inspected at delivery. Note any visible damage on the carrier’s receipt while the driver is present and take photos of the packaging and affected items. This documentation is required to open a freight claim and request replacement or credit.

The detailed MRCOOL terms below outline responsibilities for shipping, damage handling, returns, restocking fees, return freight, warranty requirements, and installation. Please review this full MRCOOL section carefully before placing an order.

MRCOOL® Freight, Shipping & Returns Policy

The following terms apply specifically to MRCOOL® HVAC systems sold by HVAC Pro Sales. These terms are in addition to our general Shipping & Returns Policy and MRCOOL’s manufacturer warranty terms. By purchasing MRCOOL equipment, you acknowledge and accept these conditions.

1. MRCOOL Shipping Method & Delivery Time

MRCOOL systems are shipped via freight/LTL (Less-Than-Truckload) carriers due to their size and weight. Orders are typically processed within 1–3 business days and then handed off to a freight carrier. Most deliveries occur within 7–14 business days after order placement.

Expedited or overnight shipping is not available for MRCOOL equipment. Transit times may vary based on carrier routing, terminal transfers, and delivery appointments.

2. Customer Responsibility at Delivery

At the time of delivery, the customer (or their representative) must:

  • Inspect all pallets, boxes, and packaging before signing the delivery receipt.
  • Look for crushed corners, punctures, open boxes, broken pallets, or water damage.
  • Clearly note any visible damage on the delivery receipt while the driver is present.
  • Take clear photos of the packaging and any damage.
  • Retain all packaging materials until the issue is resolved.
  • Notify HVAC Pro Sales within 48 hours of delivery with photos and your order number.

Failure to inspect and document damage at delivery may result in denial of a freight claim by the carrier and limit the remedies available.

3. Concealed Damage

If concealed damage is discovered after delivery (for example, unit damage inside an intact box), the customer must notify HVAC Pro Sales as soon as possible and within the timeframe allowed by the carrier and MRCOOL.

  • Detailed photos, serial numbers, and descriptions may be required for evaluation.
  • Concealed damage that is reported late or without sufficient documentation may not be covered by the carrier or manufacturer.

4. MRCOOL Returns & Restocking

Because MRCOOL systems are large, special-order HVAC products, returns are limited:

  • Return requests must be made within 30 days of delivery.
  • Equipment must be unused, uninstalled, and in original, unopened packaging.
  • A restocking fee may apply in accordance with MRCOOL and distributor policies and may be higher than the general restocking fee.
  • Unless otherwise stated in writing, the customer is responsible for all return freight costs.
  • Any system that has been installed, energized, modified, or is missing parts/accessories is generally not returnable, except where required by law.

5. Damaged MRCOOL Shipments

If your MRCOOL system arrives with visible damage and the damage is noted on the delivery receipt:

  • HVAC Pro Sales will assist in filing a freight claim with the carrier.
  • Depending on the severity, replacement units or components may be arranged.
  • Photos and a written description of the damage are required.

Damage that is not documented at delivery or not reported within the required timeframe may not be eligible for coverage or replacement.

6. MRCOOL Manufacturer Warranty

MRCOOL equipment usually includes a manufacturer warranty. The specific coverage and duration depend on the model and product line. In general:

  • Systems must be installed in accordance with MRCOOL installation instructions and local codes.
  • Product registration on the MRCOOL website may be required to activate or extend warranty coverage.
  • Operation must remain within the electrical, environmental, and application conditions stated in the MRCOOL documentation.

Warranty claims are administered according to MRCOOL’s official warranty terms. HVAC Pro Sales can help coordinate the process but does not control MRCOOL’s decisions regarding eligibility or coverage.

7. MRCOOL DIY Systems & Installation Requirements

MRCOOL DIY systems are engineered for more straightforward homeowner installation, often including pre-charged linesets. However:

  • Some jurisdictions require a licensed HVAC contractor to install or inspect the equipment.
  • Electrical connections and dedicated circuits should be installed by a qualified electrician.
  • Improper installation can cause performance issues, safety hazards, refrigerant leaks, or voided warranty coverage.

It is the customer’s responsibility to verify and comply with all local codes, permits, and inspection requirements. HVAC Pro Sales does not provide installation services.

8. Code Compliance, Permits & Inspections

Building codes, permitting rules, and inspection requirements vary by city and state. The customer is solely responsible for:

  • Confirming local code and permit requirements before installation.
  • Obtaining required permits and scheduling necessary inspections.
  • Ensuring installation is performed by qualified professionals where required by law.

HVAC Pro Sales is not responsible for fines, penalties, or costs related to non-compliance, failed inspections, or unpermitted work.

9. Return Freight & Additional Carrier Fees

Return freight for MRCOOL systems can be significantly more expensive than small parcel returns due to size and weight. Unless otherwise agreed in writing, the customer is responsible for:

  • All return freight charges on MRCOOL equipment.
  • Any special handling, liftgate, residential delivery, or accessorial fees.
  • Additional fees for missed delivery appointments, storage at the terminal, or reconsignment (address changes or re-routing).

10. Installation Services

HVAC Pro Sales is an online OEM parts and equipment supplier and does not provide installation or on-site service. Customers are responsible for selecting and contracting with qualified installers or contractors for MRCOOL systems and any other HVAC equipment purchased from this site.
